HUG Hive - Data reconciliation for scheme closure

As part of your scheme’s closure, we will be working closely with you to reconcile your delivery data. This is a key step in finalising your project and we’re here to support you every step of the way.

Below, you’ll find everything you need to know about what reconciliation involves, when it’s happening and how you can start preparing now.

What is reconciliation?

Reconciliation is the process of reviewing and verifying your delivery data to ensure:

  • there are no errors, omissions or inconsistencies between what’s reported in the Data Management System (DMS) and TrustMark
  • your final records are complete and accurate ahead of project closure

Please note: your project cannot close until reconciliation is complete.

 

When will this happen?

As outlined in your closure checklist, reconciliation checks will begin as soon as you’ve finished delivery.

You will receive an email from our teams at Salix inviting you to book a short meeting. These sessions will:

  • last approximately 60 minutes
  • help to identify any missing, mis-matched or incomplete entries
  • provide guidance so you can update and correct your records as needed

We kindly ask that you book and attend your first session by close of play (COP) Friday 30 May.

What the reconciliation sessions will cover

Your reconciliation session is a dedicated time with our team to help you finalise your delivery data is ready for closure.

During the session, we will work with you to:

  • review your latest DMS submission and TrustMark records
  • identify any missing or incomplete entries
  • flag any data that does not match between the two systems
  • discuss how to correct any issues
  • confirm next steps needed for closure

What can you do in the meantime?

To prepare for this activity, you can begin checking your data by:

  • cross-referencing your DMS and TrustMark records – use of the energy efficiency installation checker can support this activity (see April roundtable slides 12 to 15 for further information)
  • ensure property details and measures information are complete and consistent across both systems
  • identify any gaps, errors or anomalies that need to be corrected

Taking these steps now will make your reconciliation session more focused and efficient.
